StilSim Personnel - Job Descriptions

The office manager reports to the Senior Executive and is responsible for coordinating office operations and to ensure organizational efficiency. This person should be highly organized, efficient, and able to supervisor a group of employees. This person must have a bachelor's degree or higher, ideally in human resources. This individual must be able to ensure that he/she is able to carry out a range of different responsibilities.

This person will be responsible for implementing office polices, supervising office staff, developing and implementing new office systems, holding and conducting office meeting , and evaluating office staff and individual job performance. Other job tasks and responsibilities may consist of, but not limited to:

  • maintaining office records
  • taking and distributing minutes in executive staff meetings
  • ensure the effectiveness of files and records
  • responding to customer enquiries and complaints
  • managing workloads
  • promoting staff development and training
  • involvement in decision-making on the organization level
  • ensure personnel files are up to date and secure
  • take direction from senior management
  • perform other related duties as required

This person should be familiar with the following: knowledge of office administration and human resource management, knowledge of computers and relevant software applications. This individual needs to decide what administrative support duties are necessary for different departments. This individual needs to have attention to detail and excellent interpersonal skills.

The receptionist is responsible for various administrative duties, along with making a good first impression with office visitors and those calling the office. This person should have good interpersonal skills which are critical for this position. The candidate must have a high school diploma or an equivalent level of education. This individual will need to work with little supervision and in a high pace environment. This person needs to relay information accurately to others with little direction.

This person will be responsible for taking and relaying messages, answering phones, greeting visitors, communicating information regarding the organization, managing the office calendar, scheduling meetings and tracking budget expenditures. Other job tasks and responsibilities may consist of, but not limited to:

  • helping people connect with the right person in the office
  • preparing documents and letters
  • respond to inquiries from the public
  • maintain the appearance of the reception area
  • organizing daily tasks
  • planning special events
  • conduct small projects
  • gathering information as assigned

This person should be familiar with the following: knowledge of computers and relevant software applications, multi-tasking in a fast-paced team environment, and have a background in administrative duties. This individual needs good verbal and written communication skills and needs to pay high attention to details.

A recruiter is responsible for staffing services, along with establishing relationships with hiring managers and candidates throughout the recruiting process. This person needs to have long-term recruiting vision and great organizational skills. This individual needs to have a bachelor's degree along with two or more years of work experience.

This person will be responsible for developing and maintaining strong working relationships with companies and individuals. This individual will need to locate qualified employees, hold interviews, analyze client needs, and maintain files on all applicants. Other job tasks and responsibilities may consist of, but not limited to:

  • interview applicants and obtain information on work history and job skill
  • maintain and prepare employee records
  • keeping applicants informed on employment opportunities
  • advise on organizing, preparing, and implementing recruiting procedures
  • maintain a contact list
  • conduct follow-up calls
  • work closely with other members of the staff
  • have effective communication skills and be able to work within timelines
  • maintain accurate and well organized documentation

This person should be familiar with the following: job analysis, wage and salary trends, and the ability to present himself well to potential clients. This individual may need to travel and handle confidential information. This person needs to have adequate typing skills and the use of fax equipment. This person should have great written and communication skills and have the ability to work closely with others.

A placement consultant is responsible for matching job seekers with employer opportunities. This person should have a strong sense of urgency and be dedicated to helping others. This person should have a minimum of two years relevant experience and be able to work in a high-pressure establishment. This person needs to work independently and have great communication skills.

This individual will be responsible for interviewing workers who are seeking new employment, placing candidates in positions that best fit one's ability, and identifying the needs of the employer as well as the needs of the employee. Other job tasks and responsibilities may consist of, but not limited to:

  • maintaining a list of potential candidates
  • maintain written documentation of all client activities
  • follow up with all clients in order to maintain placement status
  • prepare documents by collecting, analyzing, and summarizing data
  • screening questions for each position
  • explore career options with candidates
  • work closely with team members to coordinate job placements
  • perform customer service as needed
  • maintain connection with companies and candidates

This person needs to have adequate typing skills and needs to have experience in setting priorities and presenting proposals. This individual needs excellent written communication and be able to motivate perspective employers.
